How to Use File Compression Tools Like WinRAR

Compress files to save space and email large attachments. Extract ZIP, RAR, and 7Z archives, password protect files, and split archives.

Overview

File compression reduces file sizes for easier sharing and storage. This guide covers Windows built-in compression, free 7-Zip, and popular WinRAR for creating and extracting archives.

Step 1: Windows Built-in ZIP Support

Create ZIP File (Windows)

  • Select files or folders to compress
  • Right-click selection → Send to → Compressed (zipped) folder
  • ZIP file created in same location as original files
  • Rename ZIP file if needed
  • Original files remain uncompressed

Extract ZIP File (Windows)

  • Right-click ZIP file
  • Select "Extract All"
  • Choose destination folder
  • Check "Show extracted files when complete" if desired
  • Click Extract
  • Files extracted to chosen location

View ZIP Contents Without Extracting

  • Double-click ZIP file to open as folder
  • Browse files inside archive
  • Drag individual files out to extract them
  • Or copy/paste specific files
Pro Tip:

Windows built-in tool only creates ZIP files. To create RAR, 7Z, or other formats, use 7-Zip or WinRAR.

Mac Archive Utility

  • Select files → Right-click → Compress
  • Creates Archive.zip automatically
  • Double-click ZIP to extract
  • Files extracted to same folder as ZIP

Step 2: 7-Zip (Free & Recommended)

Download and Install 7-Zip

  • Visit 7-zip.org
  • Download version for your system (64-bit or 32-bit)
  • Run installer
  • Install with default settings
  • 7-Zip adds to right-click context menu

Compress Files with 7-Zip

  • Select files or folders
  • Right-click → 7-Zip → Add to archive
  • Choose archive format: ZIP (compatible), 7z (best compression), or TAR
  • Set compression level: Store (no compression), Fastest, Fast, Normal, Maximum, Ultra
  • Optional: Set password in "Encryption" section
  • Click OK to create archive

  • Right-click files → 7-Zip → Add to "filename.zip" (quick ZIP)
  • Or → Add to "filename.7z" (quick 7Z with best compression)
  • Creates archive with default settings instantly
  • Useful for quick sharing

Extract Archives with 7-Zip

  • Right-click archive file (ZIP, RAR, 7Z, TAR, etc.)
  • 7-Zip → Extract Here (extracts to current folder)
  • Or → Extract to "foldername\" (creates new folder)
  • Or → Extract files (choose destination)

Completely free, open source, better compression than ZIP, supports all archive formats including RAR.

7-Zip File Manager

  • Open 7-Zip File Manager from Start menu
  • Browse to files you want to compress
  • Select files, click Add button
  • Configure archive settings in detail
  • Useful for batch operations or advanced options

Step 3: WinRAR (Popular Alternative)

Download and Install WinRAR

  • Visit win-rar.com
  • Download trial version (40-day trial, then paid)
  • Install with default settings
  • Integrates with Windows context menu
Note:

WinRAR is paid software (£24) after trial. 7-Zip is free and does everything WinRAR does. However, WinRAR has slightly better RAR extraction performance.

Create RAR or ZIP Archive

  • Select files → Right-click → Add to archive
  • WinRAR window opens
  • Choose format: RAR or ZIP
  • RAR offers better compression than ZIP
  • Set compression method: Store to Best
  • Click OK

Extract with WinRAR

  • Right-click archive → Extract Here
  • Or → Extract to foldername\ (creates new folder)
  • Or → Extract files (choose location)
  • Supports ZIP, RAR, 7Z, TAR, GZ, and more

  • Add to "filename.rar" (quick RAR creation)
  • Add to "filename.zip" (quick ZIP creation)
  • Add and email (creates archive and opens email)

Step 4: Advanced Compression Features

Password Protection

7-Zip:

  • Add to archive → Enter password in "Encryption" section
  • Re-enter password to confirm
  • Check "Encrypt file names" for additional security (7Z only)
  • Password required to extract files

WinRAR:

  • Add to archive → Click "Set password" button
  • Enter and confirm password
  • Check "Encrypt file names" (RAR format only)
Important:

If you forget password, files are permanently inaccessible. Store passwords in password manager or secure location.

Split Large Archives

  • Useful for email limits or uploading to sites with size restrictions
  • In archive settings, find "Split to volumes"
  • Select size: 10MB, 50MB, 100MB, or custom
  • Creates multiple files: archive.part1.rar, archive.part2.rar, etc.
  • All parts needed to extract
  • Extract by opening first part only

Self-Extracting Archives (SFX)

  • Creates .exe file that extracts without needing 7-Zip/WinRAR
  • 7-Zip: Add to archive → Check "Create SFX archive"
  • WinRAR: Add to archive → Check "Create SFX archive"
  • Recipient double-clicks .exe to extract
  • Useful for sharing with non-technical users

Compression Level Guide

  • Store: No compression, instant, use for already-compressed files (JPG, MP4, PDF)
  • Fastest: Quick, 20-40% compression, good for temporary archives
  • Normal: Balanced speed and size, recommended for most uses
  • Maximum: Best compression, slower, use for long-term archives
  • Ultra: Extreme compression, very slow, minimal extra gains over Maximum
